Privacy Policy

This policy explains what information AITM collects through its website, why we collect it, who receives it, and how it is stored or shared.

1. Information we collect

We collect information in three ways: information you submit directly, information collected automatically, and information sent to third-party tools that power site functionality and tracking.

Directly from forms

  • Contact form: name, email, phone, message, and optionally department/inquiry details.
  • Quick inquiry popup: name, email, phone, interest, and source page.
  • Admissions application: student name, phone number, email, state, city, program, and department.
  • Career application: name, contact details, address, education, experience, salary expectations, department, position, and uploaded documents such as resume, cover letter, and photo.
  • Department contact forms: name, email, and message.

Automatically collected

  • IP address, browser type, device information, page views, referrer data, and timestamps.
  • Cookies, session cookies, and CSRF cookies used for site security and functionality.
  • Local storage and session storage used by the site to save form drafts, modal state, and tracking deduplication.
  • Event-level interaction data from analytics and advertising tools.

2. How we use information

  • To respond to inquiries, admissions requests, and career applications.
  • To review eligibility, process applications, and generate application PDFs and confirmation emails.
  • To push leads into our CRM and internal admissions workflows.
  • To improve the website, measure campaign performance, and understand user engagement.
  • To secure forms, prevent abuse, and maintain site reliability.

3. Who receives the data

We do not sell personal data. We do share data with service providers that help us operate the website and respond to submissions.

  • Syncora AI CRM: leads from contact, inquiry, and admissions forms are pushed to Syncora for follow-up.
  • Email services: admissions submissions trigger PDF and confirmation emails; contact forms also use EmailJS for outbound email handling in the browser flow.
  • Meta and Google: the site uses Meta Pixel and Google Ads tags for analytics, conversion tracking, and advertising measurement.
  • Map and media embeds: the contact page includes Google Maps and some pages include embedded media that may load from third-party domains.
  • Internal staff/admin access: submitted records are stored in Django databases and accessible to authorized institute personnel.

4. Cookies, local storage, and session storage

The site uses browser storage for practical reasons, not because it needs to profile users.

  • Session cookies: Django uses secure session and CSRF cookies for site operation and form protection.
  • Local storage: the admissions application saves draft form values so users do not lose progress if they navigate away or reload.
  • Session storage: used to remember whether a popup has been seen and to prevent duplicate tracking of the same thank-you conversion.
  • Analytics pixels: Meta Pixel and Google Ads tags may place cookies or use similar identifiers subject to their own policies.

5. Retention and security

We keep submitted records for as long as needed to handle the inquiry, application, or recruitment process, and for legitimate institutional recordkeeping. Uploaded resumes, cover letters, photos, and generated PDFs may remain in our systems until they are deleted through our internal processes.

The site uses HTTPS, secure cookies in production, CSRF protection, and role-based administrative access. No website is perfectly secure. That is reality, not marketing.

6. Your choices

  • You can avoid submitting the forms if you do not want to provide personal data.
  • You can disable cookies in your browser, but parts of the site may stop working correctly.
  • You can clear local storage from your browser to remove saved application drafts and modal state.
  • You may contact us to request access, correction, or deletion of information where applicable.

7. Children’s data

This website is intended for prospective students, parents, faculty, and applicants. We do not knowingly collect data from children under the age where local law would require parental consent. If that happens, we should treat it as a removal request, not a feature.

8. External services used by this website

  • Meta Pixel for advertising measurement and conversion tracking.
  • Google Ads/gtag for conversion measurement.
  • Syncora AI widget and lead API for tracking and CRM follow-up.
  • EmailJS on the contact page for browser-side email delivery.
  • Google Maps and embedded media that load from third-party domains.
  • Google Fonts and Lucide icons for styling and UI rendering.
